Easy Way to Integrate WhatsApp with ChatGPT for Automated FAQ Responses

Last Updated on March 31, 2025

While an AI-powered WhatsApp chatbot can save you tons of time, it can feel complicated to set one up. The good thing is that it isn’t as difficult as it may seem. You don’t have to be a tech wizard to integrate WhatsApp with ChatGPT and automate FAQ replies.

In this guide, we’ll walk you through a simple way to link ChatGPT to WhatsApp without the need for any code. Once done, you can handle all business queries effortlessly.

Let’s dive in.

What do you need to integrate WhatsApp with ChatGPT?

There’s no direct way to connect ChatGPT and WhatsApp at the moment. You need a set of apps and APIs (Application Programming Interfaces) to be stitched into a cohesive flow.

Here’s what you need to link ChatGPT to WhatsApp the easy way:

1. Twilio, 360Dialog or Wati for WhatsApp API

2. Google Sheets or Airtable for FAQs

3. OpenAI ChatGPT API for automated replies

4. Make, Pabbly or Zapier for integration

How to integrate WhatsApp with ChatGPT for FAQs

Now, here’s how you can connect WhatsApp to ChatGPT and automate business responses:

How to integrate WhatsApp with ChatGPT for FAQs

1. Set up an FAQ response sheet

Start with a structured FAQ document in Google Sheets or Airtable. You’re going to create a list of common customer queries in one column and their corresponding answers in another. It ensures that common questions are answered instantly (and accurately) without needing AI processing. Keep the sheet updated to reflect new customer concerns and business changes.

2. Get WhatsApp Business API access

Now, to receive customer queries and send appropriate messages, sign up for the WhatsApp Business API. Meta has no official API access for that yet, so you have to apply through third-party services like Twilio, 360Dialog or Wati.

3. Integrate WhatsApp API with FAQ sheet

Next, you’re going to connect WhatsApp API with the FAQ sheet. You have to use integration tools like Zapier, Pabbly or Make (Integromat). When a user sends a message, this newly created system searches the sheet for an answer. Each integration tool has built-in logic apps that come in handy if an appropriate response is not found.

When a match for the customer query is found in the sheet, it’s sent to WhatsApp as a reply. When no suitable response is found, the query is sent to ChatGPT for a relevant answer.

4. Connect ChatGPT API for other queries

For questions not covered in the FAQs, you’ll have to integrate the OpenAI ChatGPT API in the flow. The same integration tool you used earlier will help you configure the system to pass unanswered queries to ChatGPT. You need a structured prompt with enough context and business information. It ensures that responses remain as relevant as possible.

Here’s a template prompt:

Act as a customer support assistant for [Business Name], a company that provides [brief description of products/services]. Your job is to answer customer queries professionally and accurately based on the business information below. Keep responses within [word limit] and avoid making assumptions.

Business Information:

Overview: [Brief summary of what the business does]

Products/Services: [List of key offerings]

Features & Benefits: [Unique selling points]

Pricing & Plans: [Basic pricing structure or a link to pricing details]

Support & Policies: [Refunds, shipping, terms, etc.]

This prompt covers pretty much all the information ChatGPT will need to respond suitably.

However, when using such automated ChatGPT replies on WhatsApp, it’s possible that the bot may misinterpret nuanced questions. So, you must set the prompt asking it to respond with your contact details when it fails to understand a query. It’s a failsafe measure to minimise ChatGPT’s “creativity.”

Add this to your prompt for failsafe:

If unsure, politely ask for clarification or suggest contacting human support at [support email/contact].

5. Send the response back to WhatsApp

Once this setup retrieves an answer from the sheet (or ChatGPT), set your integration to send the response back to the user via the WhatsApp API.

Do keep in mind that ChatGPT isn’t a replacement for a human support team. So, even though this system ensures a smooth and automated support experience, monitor and optimise the prompt to improve accuracy. Also, keep your FAQ sheet updated with the latest information.
